• LinkedIn profile data, reference information, background check results (only with written consent)

3. How We Use Your Information

For Candidates

• Assessing suitability for roles and matching with opportunities
• Communicating about application status and providing feedback
• Submitting your profile to employers only with your knowledge and approval

For Clients

• Understanding hiring requirements, presenting suitable candidates, invoicing, service improvement

4. Legal Basis for Processing

Under PIPEDA: Consent, Contract, Legitimate interests, Legal obligation. Quebec (Law 25): Privacy impact assessment register with designated Privacy Officer. California (CCPA): See Section 7.

5. Who We Share Information With

We do not sell your personal information. Limited sharing with prospective employers (with your prior knowledge) and service providers: Zoho Recruit, Formspree, Supabase, Netlify, Google Analytics. All contractually bound to protect your information.

6. How Long We Keep Your Information

• Active candidate profiles: 2 years from last activity
• Placement records: 7 years (Canadian employment law)
• Contact form enquiries: 12 months
• Client account records: 7 years from end of relationship
• Background checks: Destroyed within 90 days

9. How We Protect Your Information

• SSL/TLS encryption, secure access-controlled databases, staff training, limited access, secure data disposal
• Data breach notification within 72 hours as required by PIPEDA

10. Cross-Border Data Transfers

Your information may be processed in Canada, the US, or other jurisdictions. Appropriate contractual safeguards are in place for all cross-border transfers.

11. Candidate-Specific Privacy

We will always inform you and seek explicit approval before submitting your profile to any employer. To be removed email contact@scalestaffingteam.com — confirmed within 5 business days.

12. Client-Specific Privacy

All information shared during a search or staffing engagement is treated as strictly confidential and not shared with other clients or third parties.

13. Children's Privacy

Our services are for adults aged 18 and over. Contact contact@scalestaffingteam.com immediately if you believe we have collected information from anyone under 18.

14. Email & Marketing (CASL)

We only send commercial messages with express or implied consent. Every marketing email includes an unsubscribe link processed within 10 business days.

15. Changes to This Policy

Material changes will be noted with an updated date and website notice for at least 30 days. Where required by law we will notify you by email.
